How to Add Header and Footer to a PDF

A PDF header is text stamped at the top of every page; a footer is text stamped at the bottom. They are used for document titles, chapter names, confidentiality notices, page numbers, date stamps, and author attribution. This guide covers the choices you make when adding a header or footer, the trusted local tools that do it, and the honest state of IXPDF's planned header-footer tool.

Header vs. footer vs. watermark

These three are often confused because all stamp text onto pages. They differ in position and intent:

  • Header — top of the page, typically small text. Used for document title, chapter, or running head.
  • Footer — bottom of the page. Used for page numbers, date, author, or "Confidential" notice.
  • Watermark — center of the page, large and translucent. Used for "DRAFT", "CONFIDENTIAL", or "SAMPLE" overlays that do not obscure content. IXPDF ships a watermark tool today — seeAdd Watermark.
Watermark covers the center-overlay case
If your use case is "stamp the same translucent text on every page" (DRAFT, CONFIDENTIAL, SAMPLE), IXPDF'sAdd Watermark tool does this today in your browser. Header/footer is a different feature: it stamps small text at the top or bottom edge, often with page numbers or dates that change per page.

The choices you make when adding a header or footer

  • Position. Header (top) or footer (bottom). Within the band, pick left, center, or right. Most documents use left for the document title and right for the page number, or center for both.
  • Content. Static text ("Confidential"), a page number placeholder that increments per page, a date stamp, or a combination. Most tools let you mix: e.g., left = "Acme Corp — Q3 Report", right = "Page 5 of 12".
  • Font and size. Pick a font that matches the document. Smaller than the body text (8–10 pt) is conventional.
  • Page range. Apply to all pages, or skip the cover page. Some documents use a different header/footer for the first page.
  • Margin. Distance from the page edge. Keep at least 0.5" so printers do not clip the text.
  • Date format. If you include a date, pick ISO (2026-09-06), US (09/06/2026), or European (06/09/2026) based on your audience.

Three tools that add headers/footers locally

Every option below runs on your machine. None of them upload your document. For a sensitive contract or legal filing, that matters — the file should not travel to a "free online PDF header adder" before the header is applied.

1. Adobe Acrobat Pro (paid)

The most flexible option. Open the PDF, thenTools > Edit PDF > Header & Footer > Add. In the dialog, click in the left/center/right header or footer box and type your text. Use the Insert Page Number and Insert Datebuttons to add dynamic placeholders. Set the font, size, margin, and page range. Acrobat Pro also lets you save the settings as a preset for reuse. Acrobat Standard and the free Adobe Reader cannot add headers or footers — only Pro can.

2. qpdf + pypdf (command line, free, cross-platform)

qpdf itself does not stamp text — it is a structural tool. To add a header or footer, pair qpdf with a small Python script usingreportlab and pypdf to overlay text on each page, then qpdf to write a clean output. This is the most reproducible option if you are comfortable with the command line, and it is easy to script for batch processing.

A minimal footer example:

3. PDF24 (free, Windows desktop or browser)

PDF24's desktop app (Windows) has a "Add header and footer" tool in its toolbox. Open the PDF, configure the text and position, click OK. PDF24 runs locally on the desktop app — the browser version uploads to PDF24's servers, so use the desktop app for sensitive files.

What about IXPDF's header-footer tool?
IXPDF plans a Header & Footer tool that runs entirely in your browser — no upload, no server. Today that tool isPlanned and not yet shipped. Our engine (pdf-lib) can stamp text on pages, so the technical path is clear; we have not yet built the UI for per-page placeholders (page numbers, dates). Until then, use one of the local tools above. We will not pretend the watermark tool is a header/footer tool — they are different features.

Step-by-step: add a footer with Adobe Acrobat Pro

  1. Open the PDF in Adobe Acrobat Pro.
  2. Go to Tools > Edit PDF.
  3. Click Header & Footer > Add.
  4. In the dialog, click in the Left Footer Text box and type your text (e.g., "Acme Corp — Q3 Report").
  5. Click in the Right Footer Text box, then click Insert Page Number.
  6. Set the font, size, and margin as needed.
  7. Under Page Range Options, pick which pages to apply to.
  8. Click OK to apply, then File > Save.

Common mistakes

  • Putting the header/footer too close to the edge.Printers clip the top and bottom 0.25"–0.5" of the page. Keep at least 0.5" margin.
  • Using a font that does not match the document. A serif header on a sans-serif document looks off. Match the body font or use a neutral font like Helvetica.
  • Header on the cover page. Most documents skip the header/footer on the first page. Set the page range to start at page 2.
  • Confusing header/footer with watermark. A watermark is a large translucent center overlay; a header/footer is small text at the top or bottom edge. They serve different purposes.
  • Uploading a sensitive PDF to a "free online" header adder.The file is on someone else's server before the header is applied. Use a local tool.
  • Forgetting to update the date on revision. If you stamp a date in the footer, re-run the tool when you revise the document. A static date goes stale.
