How to Edit a PDF

"Edit a PDF" means different things to different people. Fixing a typo in a paragraph, reordering pages, rotating a sideways scan, stamping a CONFIDENTIAL banner, or changing the document title in metadata are all "editing a PDF" — and the right tool is different for each. This guide breaks the question into the four kinds of PDF edits, names the best free option for each on Windows, Mac, and the browser, and is honest about what no browser tool (including IXPDF) can do today.

The four kinds of PDF edits

  1. Page-level edits — reorder, rotate, extract, remove, or split pages. The text on each page does not change; only the sequence or orientation does. IXPDF does all of these locally today.
  2. Document-level edits — add a watermark, change metadata (title, author, subject, keywords), or compress the file. IXPDF does these locally today.
  3. Visual text edits — fix a typo, replace a sentence, reflow a paragraph. This is what most people mean by "edit a PDF" and it is the hardest one. Word 2013+ on Windows and Preview on Mac can do it with caveats. IXPDF cannot do this today.
  4. Structural edits — add page numbers, headers/footers, crop pages, redact content, or flatten form fields. These are planned or research-tier for IXPDF; see the linked guides below.
Pick the edit type first
If you only need to reorder, rotate, watermark, or change metadata, skip Word and Preview — IXPDF does those in your browser with no install and no upload. Reach for Word or Preview only when you need to fix text inside a page.

What IXPDF can edit today (in your browser)

IXPDF ships page-level and document-level edits that run entirely in the browser via a Web Worker. Your file is never uploaded. Each tool below takes a PDF, returns a new PDF, and works on macOS, Windows, and Linux in any modern browser.

  • Rotate PDF — rotate all or selected pages by 90, 180, or 270 degrees.
  • Reorder Pages — rearrange pages into any new order by listing page numbers.
  • Add Watermark — stamp translucent text (e.g. CONFIDENTIAL, DRAFT) across pages with control over font size, opacity, and page range.
  • Edit Metadata — view and edit the Title, Author, Subject, and Keywords document properties.
  • Merge PDF,Split PDF,Extract Pages,Remove Pages — combine or divide documents without changing page content.

Method 1: Edit PDF text in Microsoft Word (Windows, free if you own Word)

Word 2013 and later on Windows can open a PDF, convert it into an editable Word document, let you fix text, and save the result back to PDF. This is the most practical free option for visual text edits on Windows — but it has real limits.

Steps

  1. Open Word and choose File > Open, then select your PDF.
  2. Word warns it will convert the PDF to an editable document. Click OK.
  3. Edit the text. Paragraphs reflow; you can delete, replace, and retype.
  4. Choose File > Save As and pick PDF as the format.

Honest limits

  • Layout reflow. Complex layouts (multi-column, tables, embedded fonts, vector graphics) often shift during conversion. The saved PDF may look different from the original.
  • Font substitution. If the PDF used fonts you do not have, Word substitutes them and spacing can change.
  • Large PDFs are slow. A 100-page PDF can take a minute or more to convert and may freeze on older machines.
  • Scanned PDFs do not work. Word imports the text layer; a scanned PDF with no text layer comes in as images. You would need OCR first (out of scope for browser tools — seeHow to Convert a PDF to Word).

Method 2: Edit PDF pages in Preview (macOS, free)

Preview is the default PDF viewer on macOS and ships with every Mac. It cannot fix text inside a page, but it is excellent for page-level edits: reorder, rotate, delete, and merge pages, plus add annotations, shapes, and a signature. It works offline and never uploads anything.

Steps for page-level edits

  1. Open the PDF in Preview.
  2. Show thumbnails: View > Thumbnails.
  3. Reorder by dragging thumbnails. Rotatewith the rotate button in the toolbar. Delete by selecting a thumbnail and pressing Delete.
  4. Save with File > Save (or Export to pick a format).

Honest limits

  • No text editing. Preview cannot reflow or replace text in a PDF page. To fix a typo you need Word or Acrobat Pro.
  • Edits write to the original by default. UseFile > Export to save a copy if you want to keep the original intact.

Method 3: Edit PDF metadata, watermark, and pages in IXPDF (browser, free)

For page-level and document-level edits, IXPDF is the fastest path: no install, no upload, no account. Open the tool, drop your file, apply the edit, download. Everything runs in a Web Worker in your browser.

  1. Go to /tools/reorder-pages/ (or rotate, watermark, metadata — whichever edit you need).
  2. Drop your PDF or click to choose a file. The file stays in memory; it is not uploaded.
  3. Apply the edit (enter a new page order, pick a rotation, type watermark text, etc.).
  4. Click Run. The Worker processes the file and returns a new PDF.
  5. Download the result. Verify by opening it in any PDF viewer.
What about visual text editing in IXPDF?
IXPDF cannot fix a typo or reflow a paragraph inside a PDF page today. Visual text editing in a browser-based PDF engine is technically hard — PDFs are not word-processor documents, and editing text streams without breaking layout requires reconstructing the page's content model. This is Future work for IXPDF (AGENTS.md §16: PDF Editor is Future). Until then, use Word 2013+ on Windows or Adobe Acrobat Pro for visual text edits.

Method 4: Adobe Acrobat Pro (paid, the full editor)

Acrobat Pro is the reference PDF editor. It can edit text in place (reflowing paragraphs), edit images, redact content, add page numbers and headers/footers, flatten forms, and much more. It is paid software and not browser-based. If you edit PDFs daily for a job, Acrobat Pro is the tool that has every feature. For occasional edits, the free options above cover most needs.

Common mistakes

  • Using a "free online PDF editor" for a sensitive document.Most free web editors upload your file to a server. That server now has your contract, medical record, or tax form. Use a local tool — IXPDF, Preview, or Word — for anything sensitive.
  • Expecting Word to perfectly preserve layout. Word's PDF import is a best-effort conversion, not a round-trip. Complex layouts shift. Always compare the result to the original.
  • Editing the only copy. Save a backup before editing. Preview in particular writes to the original file by default.
  • Treating a scanned PDF like a text PDF. Scanned PDFs are images; text edits do not work without OCR. IXPDF does not do OCR (Research Required — see AGENTS.md §16).
