How to Add Page Numbers to a PDF

Adding page numbers to a PDF helps readers cite, navigate, and reference specific pages — essential for contracts, reports, legal filings, and academic documents. This guide covers the choices you make when numbering pages (position, format, starting number, margin) and the trusted local tools that do it without uploading your file. The choices you make when numbering pages

  • Position. Footer (bottom) is most common; header (top) is used when the footer is already taken by a citation or page footer text. Within the band, pick left, center, or right.
  • Format. Plain (1, 2,3), Page 1 of N, 1/12, or roman numerals (i, ii, iii) for front matter. Some tools support custom prefix/suffix text.
  • Starting number. Start at 1 by default, but start at a different number if the PDF is part of a larger document (e.g., this is chapter 2, starting at page 47).
  • Page range. Number every page, or skip a cover page and start numbering from page 2.
  • Margin. Distance from the page edge. Too small and the number may be clipped by printers; too large and it floats in the page.
Page numbers vs. watermarks
Page numbers and watermarks are both text stamped onto pages, but they differ in one key way: page numbers change per page (the number increments), while a watermark is the same text on every page. 1. Adobe Acrobat Pro (paid)

The most flexible option. Open the PDF, thenTools > Edit PDF > Header & Footer > Add. In the dialog, click in the left/center/right footer box and use theInsert Page Number button. Set the font, format, starting number, and page range. Acrobat Pro also lets you preview the result before applying. Acrobat Standard and the free Adobe Reader cannot add page numbers — only Pro can.

2. Preview (macOS, free, limited)

Preview does not have a dedicated "add page numbers" feature, but you can add a page number to each page manually via Tools > Annotate > Text, then drag the text box to the footer and type the number. This is fine for a 5-page document and painful for a 50-page one. For automatic numbering on Mac, use PDF24 (below) in a browser or qpdf from the command line.

3. qpdf (command line, free, cross-platform)

qpdf itself does not add page numbers — it is a structural tool. To stamp text that increments per page, pair qpdf with a small script usingreportlab or pypdf to overlay a number on each page, then qpdf to write the result. This is the most reproducible option if you are comfortable with Python and the command line.

4. PDF24 (free, Windows desktop or browser)

Step-by-step: add page numbers with Adobe Acrobat Pro

  1. Open the PDF in Adobe Acrobat Pro.
  2. Go to Tools > Edit PDF.
  3. Click Header & Footer > Add.
  4. In the dialog, click in the Center Footer Text box.
  5. Click Insert Page Number. The placeholder <<1>> appears.
  6. Set the font, size, and margin as needed.
  7. Click Save Settings if you want to reuse this on other PDFs, then OK to apply.
  8. Save the PDF with File > Save.

Step-by-step: add page numbers with qpdf + pypdf (command line)

Common mistakes

  • Numbering the cover page. Many documents start numbering at page 2 so the cover is unnumbered. Set the page range to skip the first page.
  • Using the wrong format for the audience. Legal filings often require Page 1 of N; academic documents often use plain numbers; reports with front matter use roman numerals for the front and arabic for the body.
  • Placing the number too close to the edge. Printers clip the bottom 0.25"–0.5" of the page. Keep the number at least 0.5" from the edge.
