How to Edit a PDF in WPS Office
WPS Office bundles a PDF reader and editor alongside its word processor, spreadsheet, and presentation apps. Open a PDF in WPS and you get a single WPS PDF app that can view, annotate, and (on the right plan) edit text and images in place. This guide walks through what the WPS PDF editor can do in WPS Office 2024 and later, where the Free/Pro/Premium gating falls, and shows where IXPDF picks up the work WPS does not need to do — all locally, with no uploads.

Which WPS plan do you need to edit a PDF?
WPS Office has three tiers and PDF editing is not the same across them. Before you start, make sure you have the right one:
- WPS Free: view PDFs, annotate (highlight, sticky notes, shapes, stamps), fill some forms, and convert PDF to Word (limited pages per file). In-place text and image editing is locked.
- WPS Pro: unlocks in-place text and image editing, watermark, page numbers, and unlimited PDF-to-Word conversion. This is what most of this guide assumes.
- WPS Premium: adds OCR on scanned PDFs, batch processing, and cloud features. If your PDF is scanned and you need to edit the text, you need Premium (or a different OCR tool).
If you only have WPS Free and need to edit text in place, you either upgrade to Pro, open the PDF in Microsoft Word 2013+ (which converts the PDF to an editable document), or use a different tool.
How to edit a PDF in WPS — step by step
- Open your PDF in WPS Office. Double-click the file or use File → Open. The file opens in the WPS PDF app.
- Switch to edit mode: click the Edit tab in the top toolbar. If the tab is greyed out or shows a lock icon, you are on WPS Free and need Pro to edit in place.
- Edit text: click any text block. WPS outlines it as an editable region. Type to replace the text, or use the format panel to change font, size, color, and alignment. PressEnter to add a line; WPS re-flows the block, not the whole page.
- Edit images: click an image to select it. Handles appear at the corners — drag to resize. Use the right-click menu or the format panel to replace, rotate, or align the image.
- Add new content: on the Edit or Insert tab, chooseAdd Text to drop a new text box, orAdd Image to place a new image. Position them by dragging.
- Save the changes: choose File → Saveto overwrite the original, or File → Save As to keep the original and write a new file. Save As is safer — you keep the unedited version as a backup.
The file stays on your machine throughout. WPS does the editing locally; nothing is uploaded unless you explicitly use WPS Cloud sync.
Adding annotations (free in WPS Free)
Annotation tools are available on every WPS plan, including Free. These do not change the underlying PDF content — they add a layer of marks on top:
- Highlight: on the Comment tab, click Highlight and drag over text. Pick a color from the dropdown.
- Sticky notes: click where you want the note, type the text. The note collapses to an icon; click to expand.
- Shapes and stamps: draw rectangles, arrows, or freehand; or drop a stamp (Approved, Draft, Confidential) from the stamp palette.
- Text box: add a floating text box anywhere on the page — useful for margin notes that are not tied to a specific word.
Adding a watermark (WPS Pro)
- Open the PDF in WPS and switch to the Edit orInsert tab.
- Click Watermark in the toolbar. ChooseAdd Watermark or Custom Watermark.
- Type the watermark text (e.g.
CONFIDENTIAL), pick the font, size, color, and opacity, and choose whether to place it diagonally across the page. - Choose the page range (all pages or a custom range) and clickApply / OK.
- Save the file. The watermark is now part of the PDF content.
Adding page numbers (WPS Pro)
- Open the PDF in WPS and go to the Insert tab.
- Click Page Number and pick a position (top or bottom, left / center / right).
- Choose a format (1, 2, 3 / i, ii, iii / Page X of Y) and a starting number if needed.
- Click OK and save the file.
What WPS can and cannot edit
What works well
- Text in born-digital PDFs. PDFs exported from Word, WPS Writer, or InDesign have real text WPS can edit cleanly — fix typos, swap paragraphs, restyle headings.
- Images placed as objects. Replace a logo, swap a photo, resize a chart — WPS treats each image as an object you can manipulate.
- Scanned text (with OCR on Premium). If you run OCR first, WPS adds a text layer to scanned pages and you can then edit that text. Without OCR, scanned pages are images and not editable.
What does not work well
Even WPS Pro cannot edit everything. A PDF is a final-format document; some information from the source is gone. WPS reconstructs what it can, but the result is not always the original document.
- Complex multi-column layouts. WPS treats each text block independently. Editing text in one column does not re-flow the adjacent column.
- Embedded fonts WPS does not have. WPS substitutes a similar font, which can change character widths and break alignment. Install the missing font or accept the substitution.
- Forms with live fields. You can edit the field labels, but editing the field logic (calculation, validation) needs a dedicated form tool.
- Certified or signed PDFs. Editing a certified PDF invalidates the signature. WPS warns you — pay attention. If the signature matters, do not edit.
Common mistakes
- Editing the only copy. Always Save As to a new file. If the edit breaks the layout, you want the original intact.
- Forgetting OCR on scans. If the PDF is scanned and you cannot select text, the Edit tool will not work on it either. Run OCR first (WPS Premium) or use a dedicated OCR tool.
- Expecting Word-level reflow. WPS edits in place; it does not re-flow the document. If you need major restructuring, edit the source and re-export.
- Saving over a PDF someone else signed. Editing a signed PDF invalidates the signature. WPS warns you — pay attention.
