How to Convert WPS Documents to PDF

WPS Office is a popular free office suite from Kingsoft that opens and saves Microsoft Office formats (.docx, .xlsx, .pptx) as well as its own native formats. Converting a WPS document to PDF is built into every WPS app — Writer, Spreadsheet, and Presentation all share the sameFile → Save As → PDF path. Which WPS app are you converting from?

WPS Office ships three apps that export to PDF. The Save As dialog is nearly identical across them, but each app has a few format-specific options worth knowing:

  • WPS Writer (word processor) — exports .docx, .doc, and .wps to PDF. The options that matter are font embedding and hyperlink retention.
  • WPS Spreadsheet — exports .xlsx, .xls, and .et to PDF. The options that matter are print area, page orientation, and scaling so a wide sheet fits the page.
  • WPS Presentation — exports .pptx, .ppt, and .dps to PDF. The options that matter are slides vs. handouts vs. notes pages.

How to convert a WPS Writer document to PDF — step by step

  1. Open your document in WPS Writer. You can double-click a .docx or use File → Open.
  2. Click the File menu (or the WPS logo in the top-left corner) and choose Save As.
  3. In the Save As dialog, set Save as type toPDF (*.pdf).
  4. (Optional) Open export options: click theOptions or More button if present. Tick Embed fonts in the file so the PDF looks the same on a machine that does not have your fonts installed. KeepPreserve hyperlinks on if the document has internal or external links you want clickable in the PDF.
  5. Click Save. WPS writes the PDF to the location you picked and opens a confirmation. Open the PDF in any viewer to verify the layout matches the source.

How to convert a WPS Spreadsheet to PDF

Spreadsheets are the trickiest to convert because a wide sheet rarely fits one page. Set the print area and scaling before exporting:

  1. Open your workbook in WPS Spreadsheet.
  2. Set the print area: select the cells you want to export, then go to Page Layout → Print Area → Set Print Area. Skip this if you want the whole sheet.
  3. Set orientation and scale: on the Page Layout tab, pick Orientation → Landscape for wide sheets, and choose Fit to 1 page wide underScale to Fit so columns do not split across pages.
  4. Go to File → Save As, set the type toPDF (*.pdf), and click Save.
  5. Open the PDF and check that every column you need is on the page. If a column overflowed, adjust the scale and re-export.

How to convert a WPS Presentation to PDF

  1. Open your deck in WPS Presentation.
  2. Go to File → Save As and set the type toPDF (*.pdf).
  3. (Optional) Choose what to export: if the dialog offers a range, pick All slides, a specific slide range, orHandouts (multiple slides per page) for printing.
  4. Click Save. Open the PDF and verify the slides render with the right fonts and images.

Batch conversion

WPS Office does not ship a one-click batch PDF export in the free tier. There are two practical paths:

  • Open and Save As each file. For a handful of files this is the fastest route — no setup, no script.
  • WPS Premium batch tool. WPS Premium adds a batch conversion tool under Tools → PDF Tools → Batch Convertthat can export a folder of Office files to PDF in one pass. If you convert often and do not want to pay, the free alternative is a small script with LibreOffice headless (libreoffice --headless --convert-to pdf *.docx) — outside the scope of this guide.

Common problems and fixes

Fonts change in the PDF

If the PDF shows a different font than the source document, the font is not embedded and the viewer is substituting. Re-export withEmbed fonts in the file enabled. Note that embedding increases file size — if that matters, subset the fonts (WPS does this by default when embedding is on).

Layout shifts on a different computer

A PDF exported from WPS should look the same everywhere — that is the point of PDF. If it does not, the most likely cause is a non-embedded font being substituted. Embed fonts and re-export.

Hyperlinks are not clickable

Some WPS versions default to stripping hyperlinks on PDF export. Check the Save As options for a Preserve hyperlinks orKeep links checkbox and turn it on. Internal links (table of contents, cross-references) and external URLs should both survive.

The exported PDF is too large

Embedded fonts and high-resolution images inflate the file. Two fixes: in WPS, choose Minimum size in the Save As options if available; or export at full quality and then shrink the PDF with a local compressor. Common mistakes

  • Saving over the source. Save As to a new PDF file; keep the .docx/.xlsx/.pptx as the editable source. If you need to fix a typo later, edit the source and re-export.
  • Forgetting print area on spreadsheets. A workbook with extra scratch columns will export them too. Set the print area first.
  • Not embedding fonts for a shared document. If the recipient's machine lacks the font, the PDF will look wrong. Embed.
  • Exporting handouts when you want slides. WPS Presentation's handout layout puts multiple slides per page — fine for printing, wrong for sharing on screen. Pick the right layout before saving.
